Terms of service
Effective 26 October 2026
In short: Asanduff HQ is provided by DXCOVR to the Asanduff Group of Companies for running its businesses. The Group owns its data. Use the system only for the Group's work, keep your sign-in to yourself, and check important figures before relying on them for tax or legal purposes.
1. About these terms
These terms cover the use of Asanduff HQ at asanduffhq.app and its desktop and Android apps (the "service"). The service is provided by DXCOVR to the Asanduff Group of Companies (the "Group") under a separate agreement between them, which covers fees and anything these terms don't. If the two disagree, that agreement wins.
By signing in, you agree to these terms and to our privacy policy.
2. Who may use it
Only people the Group has given an account: its owners, managers, staff and accountants, and DXCOVR's support staff. Accounts are personal. What you can see and do depends on the role and businesses or branches the Group has assigned to you.
3. Your account
- Keep your password secret, don't share your account, and sign out on shared devices.
- Use two-step sign-in when you can. The Group may require it for administrators.
- You are responsible for what is done with your account. Tell an administrator at once if you think someone else has used it.
- Administrators manage who has access, and switch accounts off when people leave.
4. Acceptable use
Use Asanduff HQ only for the Group's lawful business. Don't:
- try to see or change information your role doesn't allow, or get around a security control;
- record false or misleading transactions, or alter records to hide something;
- upload anything harmful, such as viruses, or anything unlawful;
- attack, overload, probe or copy the system, or let anyone outside the Group use it;
- use other people's personal information in Asanduff HQ for anything except the business purpose it was recorded for.
Important actions are recorded in an audit log, which administrators can review.
5. Your data
- The Group owns its data: customers, sales, invoices, staff records, accounts and uploaded files.
- DXCOVR uses the data only to provide, secure, back up and support the service, keeps it confidential, and never sells it.
- The Group can ask for a full copy of its data at any time, and when it stops using the service.
- How personal information is handled is set out in the privacy policy.
6. Figures, tax and accounts
Asanduff HQ helps record business activity and works out totals, tax, balances and reports from what is entered. It does not give tax, legal or accounting advice. The Group remains responsible for the accuracy of what is entered, for its tax returns to the Ghana Revenue Authority and for its accounts. Have important figures checked by a qualified accountant before relying on them.
7. Subscription
- The Group uses the service on a monthly or lifetime plan, as agreed with DXCOVR. Monthly renewals are confirmed with a one-time renewal code.
- If a monthly renewal is missed, the service keeps working for an agreed grace period. After that it becomes read-only: records can still be viewed and exported, but not added or changed, until the subscription is renewed.
- Data is not deleted because a payment is late.
8. Availability, changes and backups
- DXCOVR aims to keep the service available at all times, but it may be briefly unavailable for maintenance, updates or reasons outside its control, such as internet or power outages. Planned work is done outside business hours where possible.
- DXCOVR may improve, change or add features. It will not remove a feature the Group relies on without discussing it first.
- The data is backed up every night, with encrypted copies kept off the server.
9. Apps on computers and phones
The desktop app and the Android app open the same service, under these same terms. Install the Android app only from a copy provided by the Group or DXCOVR.
10. Suspension and ending access
- The Group may switch off any user's access at any time.
- Access may be suspended if an account appears to be compromised or is used against these terms, to protect the Group's data.
- If the Group stops using the service, it receives a full copy of its data, which is then deleted as described in the privacy policy.
11. Ownership of the software
The Asanduff HQ software, its design and its code belong to DXCOVR, which grants the Group the right to use it under the agreement between them. The Asanduff name and logo belong to the Asanduff Group of Companies. Neither may be copied or reused without permission.
12. Warranty and liability
DXCOVR provides the service with reasonable care and skill, but cannot promise that it will be free of every error or interruption. To the extent Ghanaian law allows, neither DXCOVR nor the Group is liable for indirect losses, such as lost profits or business opportunities, arising from use of the service. DXCOVR's total liability to the Group is limited to the fees the Group paid for the service in the twelve months before the claim. Nothing in these terms limits liability that cannot be limited by law.
13. Law and disputes
These terms are governed by the laws of the Republic of Ghana. If a dispute arises, the parties will first try to settle it by discussion in good faith; if that fails, the courts of Ghana will decide it.
14. Changes to these terms
These terms may be updated from time to time. The date at the top shows the latest version. Significant changes will be announced to users before they take effect, and continuing to use Asanduff HQ after that means accepting them.
